Position Overview

WestCycle is seeking an enthusiastic and creative Events Manager to lead our portfolio of high-profile cycling and community events across Western Australia. This role suits someone who loves the energy of live events, enjoys variety and wants to create experiences that bring people together through riding.

You’ll manage WestCycle’s major events including Bike It To Ballidu Gravel and Canola Classic, while also exploring and developing new event opportunities that support cycling, active transport and community participation across WA. From regional gravel rides to community-focused activations, no two events are the same.

This is a hands-on role with end-to-end ownership — from concept development and planning through to event-day delivery and evaluation. Working closely with internal teams, volunteers, partners and contractors, you’ll help deliver safe, inclusive and memorable events that riders love.

Key Responsibilities:

Event Management
  • Lead the end-to-end planning and execution of all WestCycle run events.
  • Manage the on-day event coordination of all WestCycle run events including event setup, signage, logistics, volunteer coordination and pack down.
  • Manage all third-party event logistic providers and contractors.
  • Create and manage event documentation such as event management, risk management and emergency management plans.
  • Manage and submit all required approvals for events including Council; Local Police and State Police (Traffic) and Main Roads.
  • Manage all aspects of Traffic Management Plans for WestCycle run events.
  • Manage a timeline for all WestCycle events
  • Set up event registration systems and lead rider pack collections
  • Execute and source sponsorship agreements
  • Work closely with the communications team to coordinate event marketing campaigns.
  • Ensure all event personnel including contractors and volunteers, hold valid Working With Children Checks where required.

 

Finance
  • Develop and manage budgets alongside Senior Management for all WestCycle run events, accounting for all expenditure on events within approved budgets.
  • Collaborate with Senior Management to ensure that events are meeting all business financial targets.
  • Manage Contractor invoice reconciliation 
  • Ensure cost effective procurement and value for money across all event operations.

 

Volunteer Management
  • Manage all volunteer requirements of WestCycle events
  • Create and manage a volunteer data base
  • Look at opportunities to foster volunteer support and recognition programs

 

Other Duties
  • Fulfill other duties as directed by the Manager and Chief Executive Officer.

Selection Criteria

  • Possess relevant qualifications in event management or have equivalent practical experience demonstrating a strong capability in managing events.
  • Experience in managing and forecasting event budgets, with the ability to optimise resources and track financial performance.
  • Ability to work collaboratively within a team environment while managing individual responsibilities.
  • Skills in handling unexpected challenges and emergencies during events, with a proactive approach to problem-solving and risk management.
  • Strong computer literacy, including proficiency with event management software and tools.
  • Excellent time management skills with the ability to prioritise and manage multiple tasks efficiently

Working Hours

  • The role is primarily Monday to Friday, based at our West Leederville office.
  • Due to the nature of the position, work outside regular hours (mornings, evenings and weekends) is required.
  • Time in lieu (TOIL) is provided for approved out of hours work, in accordance with WestCycle’s Leave and TOIL Policy.

Company Secretary Vacancy

WestCycle is seeking a volunteer Company Secretary to support the Board’s vision of making ‘WA – an amazing place to ride’.

The role is responsible for coordinating the Board and Finance & Risk Committee agenda papers, recording minutes, tracking actions and supporting the delivery of the WestCycle strategic plan.

Time commitment – approx. 10 hours per month.

The role would suit a retired professional or an experienced company secretary interested in supporting WestCycle’s purpose of ‘Making riding safe, easy and attractive for all.’

Tim Roach (Chair)

Elected Director | Off Road

Tim has been in senior leadership and strategic development roles for more than 20 years and is currently a project risk consultant, and a part time academic at Edith Cowan University.

He is a past Director of Executive Education in the School of Business and Law at Edith Cowan University and Assistant Commissioner and General Manager in the public service. He is an Accountant (FCPA) and previously sat on the Divisional Council of CPA Australia. Tim has been involved in racing mountain bikes, BMX and triathlon for many years, both as a father of two children who race and as a past and current bike racer.

Helen Sadler (Deputy Chair)

Independent Director

Helen is a Town of Cottesloe councillor and is the current Chair of WestCycle’s Transport Advisory Group.

A medical doctor, Helen is a strong active transport advocate with a focus on health outcomes and social well-being.
